NPS AI Policy For Trainings, Consultations, Meetings

Trainings

Due to considerations related to security, accuracy, and intellectual property, NPS does not permit the use of AI tools, including AI notetakers, during trainings.  

Consultations

For consultation services, use of AI notetakers and other tools may be used after discussion with the consultation team (consultant and providers). A decision will be made by the team about whether or not AI notetakers will be used in consultations by the end of the Everyday Parenting Training. The consultant and any provider in consultation group can decline use of AI notetakers in consultations at any time.

Use of notetakers during consultations may limit the range of consultation services as AI notetakers are not HIPAA compliant. If an agency requests to use AI notetakers during consultation, the following will occur: 

Consultation team (consultant and providers) will have a group discussion about the benefits and drawbacks of AI notetakers and come to a consensus about whether AI notetakers will be used in the current and following consultation meetings. 

If AI notetakers are used during consultation meetings, this will limit the ability to talk about clients in detail. While providers may discuss challenges with particular families, they may not provide any identifying information about the family due to limits to AI HIPAA compliance. 

If the consultation team agrees to the use of AI notetakers during consultation services, the contracting agency will be responsible for setting up and maintaining the AI notetaker tool. 

If the consultation team does not agree or decline to use AI notetakers during consultation services, a different strategy will be discussed related to tracking consultation topics. This may include tools such as a shared spreadsheet for team members to record notes from consultation meetings. 

Other Meetings

AI notetakers are allowed for use during other types of services and meetings such as implementation planning and check-in meetings as needed and if agreed upon by all attending the meeting.
